Record Storage - How it Works

Our business record storage division operates under the dba of Archive Management Solutions and is located in Covina, CA. It is the goal of Archive Management Solutions to become an extension of our client's staff. In this effort we are committed to quick response, reliable service, and innovative solutions.

How AMS Record Storage Works
Examine your current document storage area:
  • Assess extent (number of boxes/files)
  • Note the type of storage (boxes/ tapes/files/plans/film/etc)
  • Determine the condition of the storage (e.g., strong, clean containers)
  • Determine your type of filing system (if any)
Depending on what we find:
  • Accept containers ''as is."
  • Supply standard containers/plan packs, etc. as required
  • Suggest methods of keeping inventory
  • Suggest a filing system most advantageous to your company
  • At your request, come to your plant, repackage & re-file for you. (At a nominal charge of $30/hour)
When inventory is acceptable:
  • You (the client) fill out a New Inventory Work Order
  • Call our office for pick-up (626) 332-2210
  • Our truck comes to your company or wherever your files are kept:
  • Our driver checks your New Inventory Work Order
  • Picks-up new inventory and takes it to our warehouse
  • We bar-codes and data enter each item into our computer system
  • Store each item in our warehouse in specific reserved spaces
  • .
  • Send you a print-out of your boxes (items), complete with bar-codes, box numbers and the line description you have given us.
How do you get back an item when you need it (retrieval):
  • Fill out our Work Order Request Form, note box No. and/or bar-code
  • Check box for "normal," "rush," or "emergency."
       Normal............... Same or next day delivery
       Rush.................. Two hours or less
       Emergency......... After business hours/weekends/holidays
  • Fax or mail it to us
  • The item is delivered to you, as per your request.
How do you add to boxes (interfile) or add new items to your inventory:
  • Fill out a New Inventory Work Order - be specific as to type of add (box, file, tape, etc.)
  • If item is an "Interfile" (a file to be stored in an existing storage container), give specific instructions as to container number.
How do you return items that were stored previously and retrieved :
  • Fill out a Work Order Request Form. - be specific as to type of item returned.
  • If item is an "Interfile" (an old file restored to its container) - give specific instructions as to original container number.
How do you get new boxes, plan packs, etc.
